By using EduTrack, you agree to these terms. We've written them in plain language so they're easy to understand.
Use EduTrack only for lawful school management purposes. Pay your subscription on time. Don't share your credentials. We own the software; you own your data. We provide reasonable uptime but are not liable for indirect losses. Either party can terminate with notice.
These Terms of Use ("Terms") govern your use of the EduTrack school management platform ("Service") operated by Oric Network Limited ("Oric Network", "we", "us", "our").
By accessing or using EduTrack โ including submitting an enquiry, activating a trial account, or paying for a subscription โ you ("School", "you", "your") agree to be bound by these Terms. If you are accepting these Terms on behalf of a school or organisation, you represent that you have the authority to do so.
If you do not agree to these Terms, do not use EduTrack.
EduTrack is a web-based school management system that provides tools for managing students, fees, attendance, examinations, staff, and reports. The Service is provided on a Software-as-a-Service (SaaS) basis โ you access it over the internet; there is no software to install.
EduTrack is offered in three tiers:
Features included in each plan are described on our pricing page and may be updated from time to time with reasonable notice.
New schools receive a 30-day free trial with full access to their chosen plan. No payment is required during the trial. At the end of the trial, the account is suspended unless a subscription is activated. All data entered during the trial is preserved for 30 days after trial expiry, after which it is deleted if no subscription is activated.
You are responsible for maintaining the confidentiality of your login credentials (username and password). You agree to:
You are responsible for all activity that occurs under your school's account. Oric Network is not liable for losses arising from unauthorised use of your account credentials where such use results from your failure to keep credentials secure.
Your subscription entitles the school to create user accounts for authorised staff members (teachers, administrators, support staff). User accounts are for individuals within the school and must not be shared between multiple people or used to provide access to parties outside the school.
By using EduTrack, you agree to use the Service only for lawful purposes and in accordance with these Terms. You agree not to:
You are responsible for the accuracy and completeness of all data entered into EduTrack by you or your staff. Oric Network is not responsible for errors in records, reports, or communications that result from inaccurate data entry.
You are responsible for ensuring your use of EduTrack complies with all applicable laws, including Ghana's Data Protection Act (Act 843), education regulations, and any requirements of the Ghana Education Service (GES). In particular, you are responsible for obtaining any required consents from parents and guardians for the collection of student data.
EduTrack subscriptions are billed monthly in Ghanaian Cedis (GHS). Prices are as stated on the pricing page at the time of your subscription. We reserve the right to change pricing with 30 days' written notice.
We accept payment by Mobile Money (MTN MoMo, Vodafone Cash, AirtelTigo Money) and bank transfer. Payments must be made in full before the subscription period commences. We do not offer credit or deferred payment terms.
Subscriptions renew monthly. You will receive reminder notifications (WhatsApp and/or SMS) 7 days and 3 days before your renewal date. It is your responsibility to ensure payment is made by the renewal date.
If payment is not received by the renewal date, your account enters a grace period of up to 7 days (as configured for your account). During the grace period, the Service remains active but you will receive suspension warnings. If payment is not received within the grace period, your account will be automatically suspended.
During suspension, no data is deleted. The account is restored immediately upon receipt of payment. Suspension does not entitle you to a refund of days lost during the suspension period.
We do not offer refunds for partial subscription months, except where we have failed to provide the Service due to causes within our control (e.g. extended downtime exceeding 72 consecutive hours). Refund requests must be submitted within 30 days of the relevant billing period by emailing info@oricnetwork.com.
Schools that opt for annual prepayment receive a discount (currently 2 months free). Annual payments are non-refundable except in extraordinary circumstances at our discretion.
Your use of EduTrack involves the processing of personal data (student records, staff records, parent contacts). Our handling of this data is governed by our Privacy Policy, which is incorporated into these Terms by reference.
You retain ownership of all data you enter into EduTrack. We process your data only to provide the Service and as described in our Privacy Policy. We do not sell, share, or use your school's data for any purpose other than operating EduTrack for you.
You may request a full export of your school's data at any time by contacting us. We will provide the export in CSV or Excel format within 14 business days of your request at no charge.
By using EduTrack, you acknowledge that Oric Network processes personal data on behalf of your school as a data processor under Ghana's Data Protection Act. The school acts as the data controller and is responsible for the lawfulness of data collection and use within its operations.
EduTrack, including its design, code, features, branding, and documentation, is the intellectual property of Oric Network Limited. These Terms grant you a limited, non-exclusive, non-transferable licence to use the Service for your school's internal operations during your active subscription period. No other rights are granted.
You retain full ownership of all data, content, and records you create and store in EduTrack. Oric Network claims no intellectual property rights over your school's data.
If you provide suggestions, feedback, or feature requests about EduTrack, you grant us the right to use that feedback to improve the Service without obligation to compensate you.
We aim to maintain EduTrack with a target uptime of 99% per month, excluding scheduled maintenance. Scheduled maintenance will be communicated in advance where possible, and is typically performed outside school hours (evenings or weekends).
We are not liable for downtime caused by factors outside our reasonable control, including internet outages, power failures at your location, disruptions to third-party infrastructure, or force majeure events.
Unplanned outages will be addressed as quickly as possible. We will communicate status updates via WhatsApp to affected school administrators during extended outages.
To the maximum extent permitted by Ghanaian law:
Nothing in these Terms limits our liability for fraud, gross negligence, or wilful misconduct, or any liability that cannot be excluded by law.
You may cancel your subscription at any time by contacting us via WhatsApp or email. Cancellation takes effect at the end of your current billing period. You will continue to have access to the Service until the end of the paid period.
We may terminate or suspend your account immediately if:
Upon termination or cancellation, your access to the Service will cease. Your data will be retained for 90 days after the effective termination date, during which you may request an export. After 90 days, all data is permanently deleted.
These Terms are governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising out of or relating to these Terms or the Service shall be subject to the jurisdiction of the courts of Ghana.
We encourage you to contact us first to resolve any disputes informally before initiating legal proceedings. Most issues can be resolved quickly through direct communication.
We may revise these Terms from time to time. When we make material changes, we will:
Your continued use of EduTrack after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the Service before the effective date.
