Who is EduTrack built for?
EduTrack is designed for basic schools (primary and JHS), senior high schools (SHS), and private schools across Ghana. Whether you have 100 students or 2,000+, EduTrack scales to fit your school.
Do I need to install any software?
No. EduTrack is entirely web-based. You only need a browser (Chrome, Firefox, Edge, or Safari) and an internet connection. It works on computers, tablets, and smartphones โ no app download required.
Does EduTrack work on mobile phones?
Yes. EduTrack is fully mobile-responsive. Teachers can take attendance and enter scores from their Android or iPhone browser. The interface automatically adapts to the screen size.
Is EduTrack only for Ghanaian schools?
EduTrack is built and optimised for Ghanaian schools โ GES grading scales, GHS currency, Ghanaian mobile networks, and BECE-style reporting. While schools in other countries can use it, the system is particularly tailored for Ghana's education context.

Plans & Pricing
How much does EduTrack cost?
EduTrack is priced in Ghanaian Cedis (GHS) per month. The Starter plan starts at GHS 180/month for schools with up to 300 students. The Growth plan is GHS 320/month for up to 800 students, and the Premium plan is GHS 550/month for unlimited students. All plans include a free 30-day trial.
Is there a free trial?
Yes โ every new school gets a 30-day free trial with full access to all features on their chosen plan. No payment details are required to start your trial.
What happens after the trial ends?
At the end of your 30-day trial, you can subscribe to continue. We will contact you via WhatsApp or phone before your trial ends to guide you through payment and renewal.
What payment methods are accepted?
We accept Mobile Money (MTN MoMo, Vodafone Cash, AirtelTigo Money) and bank transfers. We do not process online card payments at this time.
Can I upgrade or downgrade my plan?
Yes. You can upgrade your plan at any time and the change takes effect immediately. Downgrades take effect at the start of your next billing period. Contact us via WhatsApp to request a plan change.
Is there a discount for annual payment?
Yes โ schools that pay for 12 months upfront receive 2 months free (equivalent to ~17% off). Contact us on WhatsApp to discuss annual billing.
Are there any setup or hidden fees?
No. The monthly subscription covers full access to the platform, technical support, and updates. There are no setup fees or hidden charges. SMS notifications may incur a small per-message cost depending on volume.
What happens if I miss a payment?
Your account enters a grace period (typically 7 days) during which the system remains active. If payment is not received within the grace period, the account is temporarily suspended. All data is preserved and restored immediately upon payment.
Setup & Getting Started
How long does setup take?
Most schools are fully operational within one day. Submitting your enquiry takes 2 minutes, and account activation happens within 24 hours. Configuring your school structure, importing students, and adding staff typically takes 2โ4 hours total.
Do you help with the initial setup?
Yes. Our team offers free setup assistance via WhatsApp or phone call. For larger schools, we also offer on-site training where our team visits your school and trains staff directly. Contact us to schedule.
Can I import students from Excel?
Yes. EduTrack provides a downloadable Excel template. Fill in your students' details (name, DOB, gender, class, guardian contacts, etc.) and upload the file. Hundreds of students can be imported in minutes.
What if I already have student data in another system?
We can help you migrate data from most common formats (Excel, CSV, or from other school software). Contact us with a sample of your data and we'll advise on the best migration approach.
Can multiple users log in at the same time?
Yes. EduTrack supports concurrent users. A typical school might have the bursar collecting fees, teachers taking attendance, and the admin updating records โ all at the same time.
What internet speed is required?
EduTrack is optimised for typical Ghanaian internet speeds. A standard 3G or basic broadband connection is sufficient. The system uses minimal data โ taking attendance for a class of 40 students uses less than 100KB.
Features
Can EduTrack generate GES-standard report cards?
Yes. EduTrack produces report cards that follow GES grading standards (A1โF9, class scores and exam scores, positions, teacher remarks). The report cards are branded with your school logo and are printable as PDFs.
Does EduTrack support BECE grading?
Yes. The exams module supports the Class Score / Exam Score split (30%/70% or custom weightings), aggregate score computation, and position ranking โ consistent with JHS BECE preparation practices.
Can parents see their child's results or fees?
On the Growth and Premium plans, parents can receive SMS or WhatsApp summaries of their child's results and fee balance. A dedicated parent portal is on our roadmap for 2025.
Does EduTrack handle boarding school operations?
Yes, on the Premium plan. The boarding module tracks boarding fees separately, manages dormitory assignments, handles house parent allocations, and tracks boarding students' weekend outings and permissions.
Can EduTrack work offline?
The system requires an internet connection to function. However, for areas with unreliable connectivity, we recommend taking attendance in the morning when connections are typically better, and the data is instantly synced.
How many students can EduTrack handle?
The Starter plan supports up to 300 students, Growth up to 800, and Premium is unlimited. Very large schools (2,000+ students) are supported on the Premium plan with no performance impact.
Does EduTrack have a mobile app?
EduTrack is a web app that works perfectly on mobile browsers โ there is no separate app to download. This keeps the system lightweight and means you always have the latest version without manual updates.
Can I customise the report card layout?
Yes. Premium plan schools can request custom report card layouts to match their existing format. For standard GES format, the default layout is used automatically.
Security & Data
Where is my school's data stored?
Your data is stored on secure, professionally managed servers. Oric Network takes data security seriously. All data is backed up regularly and stored in encrypted form.
Who can see my school's data?
Only authorised users within your school (with login credentials you create) can access your data. Oric Network staff only access data for technical support purposes, and only with your permission.
Is my data backed up?
Yes. School data is backed up daily. In the event of a technical issue, we can restore your data from the most recent backup with minimal data loss.
What happens to my data if I stop using EduTrack?
If you cancel your subscription, your data is retained for 90 days. During this period, you can request a full export of your data in CSV or Excel format at no charge. After 90 days, data is permanently deleted from our servers.
Is the system secure from unauthorised access?
Yes. EduTrack uses HTTPS encryption for all data in transit. Admin passwords are hashed using bcrypt. Role-based access control ensures each user only sees what they are permitted to see.
Does EduTrack comply with Ghana data protection laws?
EduTrack is designed to comply with Ghana's Data Protection Act (Act 843). We do not sell, share, or monetise your school's data. See our Privacy Policy for full details.

How do I get support?

What are your support hours?
We are available Monday to Saturday, 8amโ6pm Ghana time. For urgent issues outside these hours, WhatsApp us and we will respond as soon as possible.
Do you offer training for school staff?
Yes. We offer free phone/WhatsApp training for all new schools during onboarding. For larger schools or staff who prefer in-person training, we offer on-site visits (transport costs may apply depending on location).
What if I encounter a bug or technical error?
Send us a WhatsApp message describing the issue (or a screenshot if possible). We investigate and resolve most technical issues within 24 hours. Critical bugs affecting day-to-day operations are prioritised immediately.
Can I request a new feature?
Absolutely. We build EduTrack based on feedback from Ghanaian schools. If there is a feature your school needs, let us know via WhatsApp or email. Popular feature requests are added to our development roadmap.
Is there a user manual or documentation?
